The Coordinating Editor (CE) of the four Acta Journals (http://actamaterialia.org/) is seeking to hire a part-time Administrative Associate.  This role will assist the CE with the various administrative activities associated with his role in coordinating the activities of the four major materials science journals. This is an ideal position for someone with strong organizational skills and experience in administrative and customer facing background. Experience in academic publishing and/or knowledge of materials science are desired but not required.  Minimum education preferred:  Bachelor’s degree.

The role will be home based and on an independent contractor basis, therefore applicants from all geographies will be considered. Frequent remote communication with the Coordinating Editor and the others who make up the central office team will be required. Correspondence is primarily via email and all journal communications are in English, so proficiency in the written English language is a must.  Following training and orientation, the time commitment is expected to average out to 20 hours/week.

Contract Fee: depending on experience.

Specific Responsibilities of the Administrative Associate

  • Provides a conduit for information and a support hub for the approximately 20 editorial offices that make up the Acta Journals family. Assists the CE with the coordination of activities that involve the whole, or various subsets, of the Acta Journals organization.  Facilitates complete and accurate communication between the editors, the publisher, and the governing board. 
  • Organizes recurring special projects such as the student award program, outstanding reviewer honoraria, annual editors’ meeting, etc. 
  • Assists the CE with obtaining feedback and votes from the editors on various initiatives.
  • Responsible for handling details associated with new hires and departures, including communications with the governing board and maintaining the accuracy of masthead and journal homepage information.
  • Helps facilitate the creation, proofing and publication of editorials and announcements.
  • Monitors content on the journal homepages, in the front pages of the printed journals, and the editorial section of the Acta Materialia, Inc. website to ensure information is accurate and current.
  • Other administrative duties as needed.
